Before the Conference - Materials & Promotion

Speaker Details

If you haven’t already, please send the following materials to us, via your Practice Director. This is the information we will use on our website and in promotional materials. This content is due ASAP.

  • Your preferred first and last name
  • Professional title
  • High-resolution headshot
  • Vector or high-resolution company logo
  • Short professional biography (100-150 words), summarizing your professional qualifications.

Presentation Details

We will promote your presentation using the title and abstract in advance of the conference to entice additional registrants. These materials can be sent to your Practice Director by the deadlines listed below.

  • Presentation title and abstract (100-150 words), describing your presentation. Due July 1.
  • Presentation materials (ex: PowerPoint presentation, any handouts). Slides should be formatted to 16:9, which is a setting found in Page Setup in the Design tab. Your Track Director can provide additional guidance as needed. Due August 15. 

Tell Your Friends

Let your friends and colleagues know about your participation in the conference and encourage them to register. We will be putting together a folder of resources to make it easy to share content on your social media channels. Stay tuned for that!

Before the Conference - Travel Logistics

  • Make your airfaire or car rental reservation ASAP.
  • Make your travel arrangements as soon as you can. We are happy to pick up the cost of your travel to participate in our conference! Please reach out to your UWEBC contact about permissible expenses and the reimbursement process.
  • We will book your complimentary room at the Hilton Madison Monona Terrace for you.

RSVP for the Pre-Conference Executive Reception by August 15

As a valued contributor to our conference, we request the honor of your attendance at our pre-conference reception for speakers, UWEBC member company executives and other special guests.  The reception provides a wonderful opportunity to meet your fellow presenters, see the room in which you will be speaking, get your questions about presenting answered –  and have “quality time” with your track Practice Director before the busy-ness of Conference Day.  We would love to have you join us for the reception on September 30 at 5:30pm at the Monona Terrace Convention Center.  Please RSVP by clicking on the link below and, if you plan to attend, be sure to build this into your travel plans.

Day of the Conference

Getting around Madison

Madison has many options to get you to and around downtown. Taxis and rental cars are plentiful at the airport. Madison has a public transportation system, and ridesharing companies such as Uber and Lyft are also available.

Most Madison hotels, including the Hilton Madison Monona Terrace, have shuttles to and from the airport, as well. Please contact your hotel for details on booking a shuttle.

Additionally, you can rent bicycles through B-cycle in downtown Madison. For more information on transportation to and around Madison, visit the Greater Madison Convention and Visitors Bureau website.

Parking

Downtown parking is limited and can be difficult to find. For your convenience, if you are staying at the Hilton Madison Monona Terrace, we recommend leaving your car parked at the hotel during the conference and use the climate-controlled skywalk connected to the Monona Terrace. The parking entrance for the Hilton Madison Monona Terrace is located at 9 E. Wilson Street.

Monona Terrace features a 600-space, cashier-operated parking structure. Parking for the day will cost $16. Short-term and all-day public parking is provided throughout downtown Madison in various city-owned structures and lots for up to $1.80 an hour. On-street parking is also available for short-term parking.

Bus parking and passenger drop-off is accessible from the Wilson Street entrance to Monona Terrace.

Handicapped-accessible parking stalls are available at no cost for Monona Terrace event parking on the upper drive-through/drop-off level near the parking meter areas on both sides of the building.

Attend the conference with your complimentary pass and give an awesome presentation!

As a speaker, you receive a complimentary pass to the conference. You will be able to pick up your nametag when you arrive and we will guide you to the festivities. Enjoy the other sessions and have fun!

Make sure to arrive to your session at least 15 minutes before your scheduled start time and check in with your Practice Director. If you have any questions, don’t hesitate to ask them! They’ll be with you every step of the way.
